We Offer Direct Insurance Billing!

At Ultima Dental Wellness, we understand that dental insurance and finances are a very complex subject. While it is not possible for us to know every detail, limit, or exclusion involved in all the plans we deal with, we endeavor to assist you in navigating your insurance coverage to the best of our ability. Our office prides itself on providing a very high standard of dental care at a very fair price.

To ensure accuracy when dealing with your insurance company, it is very important that you bring your dental insurance information with you. Please remember that most dental insurance plans are intended to cover some, but not all, of the costs associated with your dental care. Reimbursement amounts are not and never have been a guideline for quality of care. We are happy to help you understand your insurance plans and finances, but please recognize that it is your responsibility to provide us with up-to-date insurance information.

We will submit your information to your insurance company for you, and your portion of the payment is due at the time of service.

Frequently Asked Insurance & Financial Questions

Yes, we do. We are happy to submit a claim to your insurance company and we only charge you for the portion not covered by insurance. We do ask for a credit card number to be kept on file so that any portion not covered by insurance can be charged directly to your credit card.

We accept all insurance plans, including private, employee, and government coverage.

Yes, we do. We follow the latest ADA&C Dental Fee Guide for all our billing.

Ultima Dental Wellness requests payment in full for your portion of the bill at the time of service. We can arrange for you to prepay toward future treatment. We also work with you to prioritize a treatment plan that you choose and that is best for you. We do our best to help you understand what payment is due at each visit.

Benefits change from time to time, so it is important to make sure you know what your plan covers. As a result, we cannot provide a guaranteed estimate unless we have submitted a pre-treatment estimate prior to your treatment. 

Our estimates are based on the most recent information we have on file. If you are concerned about exactly what costs you will be responsible for, simply ask about our Pre-Treatment Estimate.

A Pre-Treatment Estimate gives you the exact cost of the treatment. Upon request, we will file this paperwork with your insurance provider prior to any work being done. While this may delay your treatment, you will know exactly what out-of-pocket costs, if any, you may be required to pay.

We base the patient portion of your bill on the most current data we have on file. However, there are a number of factors outside of our control that may result in additional costs, such as:, 

  • An individual or family deductible
  • Treatment in another office prior to joining the Ultima Dental Wellness family
  • Visiting a specialist 

It is important to note that insurance providers do not notify us of changes to your benefits. They only notify you. If any of these situations apply to you, please let us know at the time we provide your estimate so that we can adjust accordingly.

We invoice your insurance provider on your behalf as a courtesy. It is important to understand that your coverage is a legal contract between you and your insurance company. Our office is not and cannot be a part of that legal contract. As a result, if your insurance does not pay us within 30 days, we reserve the right to request payment in full from you and ask that you collect the insurance funds directly from your insurance company. While this is an extremely rare occurrence, it does happen. You are ultimately responsible for all charges incurred in our office.

We normally require payment in full for your patient portion at the time of treatment. However, a payment plan can be arranged if discussed in advance with our Treatment Coordinators. 

We are happy to put together a detailed treatment plan with associated costs clearly outlined so that you can budget for each appointment accordingly. We can also rank treatments so that you can address the most pressing concerns right away and manage other treatments over time.

Yes, we can arrange a payment plan to meet your needs. However, you will have to discuss your needs prior to treatment with our Treatment Coordinator. Please contact us to discuss your needs.
